We are seeking an exceptionally talented program coordinator. This person will play a critical role by managing all details and successfully implementing various tactics within the program for the client. This individual will join the communications/customer service hub for all account/program activity; set and manage activity to project milestones; track and coordinate details; manage events and deadlines, plus report activity to agency team leaders while welcoming and greeting agency guests.

Responsibilities

General
Assist account executive(s) in completing weekly status reports
Attend weekly status calls
Content Management System (CMS) Maintenance
Enter drawings into the CMS – work with a digital strategist, creative director, account executive, producer and copywriter to collect and organize all appropriate assets
Enter, delete and edit catalog items in the CMS – work with a digital strategist, creative director, account service, producer and copywriter to collect and organize all appropriate assets
Update content on rewards websites via the CMS
Gather images of prizes for population into the CMS
Manage new poll questions – obtain client approval and facilitate entry into the CMS
Project Fulfillment
Monitor inventory levels of products
Enter instant wins – work with a digital strategist, creative director, account executive, producer and copywriter to collect and organize all appropriate assets
Fulfill, ship items/prizes
Complete auditory, tax, and legal paperwork
Facilitate communication to call center of new promotions/updates on the rewards website
Respond to emails from the client’s call center
Gather all assets for client and rewards website newsletters

Requirements
Prior experience in a customer service role such as a call center representative and/or a role where the majority of responsibilities rely on the ability to manage high call volumes, assessing customers’ needs and relationship management
Able to effectively manage a number of tasks simultaneously in a fast-paced, deadline-sensitive environment. Must be strong in time management and possess outstanding organizational skills.
Outspoken and comfortable with changes in priority at the last minute
Extreme attention to detail, commitment to perfection for all work delivered to the client
Willingness to learn and follow directions
Strong verbal and written communications skills, plus a polished, professional presence are essential
A friendly, “whatever-it-takes” attitude, along with a strong work ethic. (A good sense of humor helps too)
Experience with a CMS is a plus, but not a requirement
